Overview

This Privacy Policy explains how Company legal name (“Ciao,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information when you visit our website, request a demo, use a Ciao-powered product experience, or otherwise interact with our services.

When a business customer makes a Ciao experience available to its own users, that customer may control the purpose and means of processing. In that situation, the customer’s privacy notice may also apply and requests about that data should generally be directed to the customer first.

02

Information we collect

Information you provide

  • Contact and business information, such as your name, work email, company, product URL, and anything you include in a demo request.
  • Account information, profile details, and authentication information when account access is enabled.
  • Customer content, including product guides, recordings, decks, help-center links, workflow instructions, and other training materials provided to Ciao.
  • Messages, feedback, support requests, and other communications with us.

Information generated when you use Ciao

  • Demo and session information, such as actions taken in a product, instructions, session status, event history, and final conversation transcripts.
  • Microphone audio processed in real time to provide an interactive voice experience. Ciao may retain transcripts and related session events; this template does not state that raw audio is retained.
  • Website and referral information, such as the page visited, referring domain, campaign parameters, and standard technical logs generated by our infrastructure providers.
  • Session-storage identifiers used to start, reconnect to, and safely stop a live demo.

Information from third parties

We may receive information from a customer that invited you to a Ciao experience, from authentication providers, from product integrations you choose to connect, or from service providers that help us operate Ciao.

03

How we use information

We use personal information to:

  • Provide, operate, maintain, and improve Ciao and its live product experiences.
  • Create accounts, authenticate users, and manage access.
  • Run requested demos, process voice interactions, and carry out approved workflows.
  • Respond to demo requests, questions, support needs, and other communications.
  • Monitor reliability, investigate errors, prevent abuse, and protect the service.
  • Comply with law, enforce our agreements, and establish or defend legal claims.

We do not use customer content or personal information to train shared, general-purpose AI models unless we first provide clear notice and obtain any consent required by law or contract.

04

How we share information

We may share personal information with:

  • Service providers that support hosting, databases, authentication, live audio, AI-assisted interactions, cloud browsers, communications, security, and support.
  • The Ciao customer that made a demo, onboarding, or support experience available to you.
  • Third-party products or integrations that you or the relevant customer direct us to use.
  • Professional advisers, authorities, or other parties when reasonably necessary to comply with law, protect rights and safety, or investigate misuse.
  • A buyer, investor, or successor in connection with a financing, merger, acquisition, reorganization, or sale of assets, subject to appropriate protections.

The starter assumption is that Ciao does not sell personal information for money or use it for cross-context behavioral advertising. Confirm that this remains accurate before publishing.

05

AI and automated processing

Ciao uses AI systems to understand requests, generate responses, and operate approved workflows in connected product environments. These systems may process conversation content, customer materials, and session context to provide the requested experience.

AI-generated responses and actions can be incomplete or incorrect. Customers are responsible for choosing the workflows Ciao may perform and for applying appropriate human review, permissions, and safeguards before using Ciao for consequential decisions.

06

Data retention

We retain personal information only for as long as reasonably necessary to provide Ciao, fulfill the purposes described here, comply with legal and contractual obligations, resolve disputes, and protect the service. Retention periods vary by data type, customer instructions, account status, and legal requirements. We may keep de-identified or aggregated information where it can no longer reasonably identify an individual.

07

Security

We use administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please notify us promptly if you believe your account or information has been compromised.

08

Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information; object to or restrict certain processing; withdraw consent; or appeal a decision about a request.

To make a request, contact us using the details below. We may need to verify your identity and may be unable to fulfill a request where an exception applies. If Ciao processes your information for one of our customers, we may direct the request to that customer.

09

International transfers

Ciao and its providers may process information in countries other than the one where you live. Where required, we use recognized safeguards for international transfers and take steps designed to protect information in accordance with this policy.

10

Children’s privacy

Ciao is a business service and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, please contact us so we can take appropriate action.

11

Changes to this policy

We may update this Privacy Policy as Ciao and applicable requirements evolve. We will post the updated version here, revise the “Last updated” date, and provide additional notice when required.
